Reconcile the books, source documents and portal data each month, then assign and resolve material differences.
Monthly follow-up reduces the stock of unresolved tax differences
Illustrative count of open GST and TDS reconciliation items after a monthly owner-and-ageing review was introduced.
Illustrative example. The goal is not a zero balance at any cost. Valid timing items should remain clearly identified.
Classify differences before trying to clear them
| Difference | Likely cause | Next review |
|---|---|---|
| Timing | Portal or document available in a later period | Carry with period and evidence |
| Missing document | Invoice or supporting record not received | Assign owner and due date |
| Incorrect coding | Wrong ledger, section or tax treatment | Correct and document the reason |
| Payment mismatch | Working and challan do not agree | Trace before filing or carry-forward |
Treatment depends on the facts and applicable law. The table describes an operating review, not a tax conclusion.
01
Good compliance starts in the ledger
Return preparation cannot fix inconsistent coding, missing documents or unclear counterparty data every month. If tax details are reviewed only near the due date, the same problems keep returning.
A small set of monthly ledger checks makes the filing process faster and easier to review.
02
Four useful habits
The details differ by registration and transaction type, but these four habits are broadly useful.
- Review tax-sensitive entries during bookkeeping, not after month-end
- Reconcile tax ledgers to return workings and payment records
- Track missing documents or counterparty issues in one ageing list
- Carry forward unresolved differences clearly instead of silently netting them
03
Separate timing differences from errors
Some differences are expected timing items. Others come from missing documents, incorrect treatment or duplicate entries. Keeping them in one total makes the reconciliation difficult to manage.
Give each category a resolution rule, owner and age. Older items should become more visible, not disappear into the next month’s total.
04
Keep preparation and approval separate
The person preparing the workings and the taxpayer approving the filing have different roles. Keep the reviewed version, important assumptions and evidence of approval.
