The month is closed when the agreed entries, reconciliations, schedules and review steps are complete, not simply when a P&L has been exported.
A close improves when the same controls are completed earlier
Illustrative reduction in working days needed to close the month after a fixed cut-off and reconciliation list were introduced.
Illustrative example. A faster close is useful only when review and reconciliations remain complete.
Evidence that the month is ready to close
| Control | What should be available | What it prevents |
|---|---|---|
| Bank reconciliation | Ledger tied to every bank and gateway | Unexplained cash differences |
| Balance-sheet schedules | Support for material balances | Old items being carried silently |
| Tax control accounts | Books tied to workings and payments | Late GST or TDS surprises |
| Review | Material movements and estimates checked | Reports changing after issue |
The exact control list depends on the business, but every material balance should have visible support.
01
A report is not the same as a close
A profit-and-loss statement can be generated at any time. That does not confirm that bank differences are resolved, accruals are complete, tax ledgers agree or unusual balances have been reviewed. If those steps happen later, the report may change after management has already used it.
A proper close creates a clear stopping point. Any later change is identified and explained instead of becoming routine.
02
Six controls to check
The checklist will differ by business, but these six control areas should normally be covered.
- Complete source data received by the cut-off
- Bank, payment-gateway and key subledger reconciliations
- Accruals, prepayments, payroll and material estimates posted
- GST, TDS and other agreed control accounts checked
- Balance-sheet schedules tied to the ledger
- Material movements and open items reviewed before release
03
Keep open items visible
A good close can still have open questions. The important point is that each question is clearly stated, measured where possible and assigned to an owner before it can change the report.
A short open-items list tells management what remains uncertain and what action is required.
04
Set two separate deadlines
The record cut-off and the reporting date are different commitments. The first sets the date for complete records and clarifications. The second sets the date for issuing the reviewed reports.
If records arrive late, the reporting date may need to move or the limitation should be stated. Review should not be quietly removed to protect an unrealistic deadline.
